We are looking for an Executive Assistant to join our company and provide essential administrative and organizational support.Responsibilities:Support for the Managing Director and selected members of the Management Team:
- Efficient diary management, scheduling, and coordination of internal and external appointments
- Preparation and follow-up for meetings, including drafting presentations, minutes, and reports
- Acting as a liaison between internal and external stakeholders
- Ensuring smooth communication flow within the organization
Office Management:Overseeing the organization and smooth running of the office operations
- Managing office supplies, equipment, and services
- Coordinating with external service providers and suppliers
- Supporting the onboarding process for new employees regarding office-related matters
Fleet Management:
- Administration of company vehicles (insurance, leasing updates, and maintenance coordination)
- Ensuring compliance with legal regulations and internal policies regarding the vehicle fleet
- Optimizing fleet costs and ensuring sustainability practices are in place
Facility Management:
- Overseeing maintenance and organization of company facilities
- Coordination of external service providers and suppliers
- Ensuring an optimal working environment for employees
- Budget planning and monitoring for facilities
Event and Offsite Organization:
- Planning, organizing, and executing internal and external events
- Handling logistics, location management, and participant coordination
- Preparing and managing event budgets
Additional Tasks:
- Preparing and maintaining documentation and reports
- Proactively supporting ad-hoc projects and special tasks
- Ensuring adherence to data protection and compliance guidelines
QualificationProfessional Qualifications:
- Completed commercial training or equivalent qualification
- Several years of experience in a similar role, ideally in an international environment
- Excellent organizational and planning skills
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and Google Workspace
- Fluent in German and English (French is a plus)

- Strong communication and interpersonal skills
- Hands-on mentality and ability to work independently
- Flexibility and resilience in a dynamic work environment
- Attention to detail and precision in execution
