Job DescriptionICH – International Council for Harmonization of Technical Requirements for Pharmaceuticals for Human UseDescriptionPosition SummaryThe Director Finance and Procurement will be responsible for:
- Developing and providing funding & financial strategies, budget planning and analysis
- Reconciling and closing monthly and annual financial results and metrics
- Administrating cash, credit cards, bank accounts and banking relationship
- Developing and executing procurement strategy
- Overseeing and managing larger-scale longer-term vendor services contracts, ensuring timely delivery of high-quality services and contract deliverables
- Reviewing all operational contracts and agreements, seeking legal review and approval from governing bodies
- Developing, implementing and ensuring compliance with accounting-finance-tax standards and policies to avoid any unnecessary risks
- Managing back-office and administrative activities in Human Resources and Office Support
The Director Finance & Procurement acts as a Business Partner to the Secretary General, and assists in all financial and procurement decisions, being responsible for financial integrity and accuracy of all financial statements for the ICH Secretariat. The Director Finance & Procurement partners with the ICH Finance Committee Chairs and the ICH Finance Committee.Key responsibilities
- Prepare, present and monitor the annuel budget in accordance to funding
- Lead financial analysis of potential investments and ventures
- Identifying key operating metrics and drivers
- Monitor and analyze monthly review of expenses, monthly forecast and cashflow
- Supervise accounting & payroll through an external provider
- Manage invoicing and receipt of payments of membership fees
- Review and approve quarterly VAT returns
- Establish year-end closing and financial reports with comments
- Act as main point of contact with auditors
- Present ad-hoc financial statements to ICH Finance Committee, ICH Management Committee and MedDRA Management Committee
- Develop and maintain robust systems and procedures of internal controls
- Manage procurement activities directly or through external providers and signoff related transactions
- Negotiate and manage insurances in accordance with local requirements
- Support and monitor ICH Asset Preservation Strategy
- Leads special projects as required
Qualifications & Experience
- Advanced university degree in Finance & Accounting, Business Administration or Economy
- 4-6 years› experience in similar position, preferable for NGOs or start-ups
- Chartered accountancy designation and/or audit experience are assets
- Successful track record in implementing and improving financial and procurement processes and tools
- Proven project management experience combined with follow-through capabilities
- Superb attention to details and ability to organize, prioritise and deliver
- Understanding of Swiss accounting and fiscal system and procedures
- Fluency in English (both written and oral), proficiency in French an asset
- Hands-on approach, target driven and great analytical skills
- Team player with open and flexible attitude, and sound judgement
- Proven exposure to finance and accounting ERP for small and medium companies
