Workplace Partner (70-100%)Zurich, SwitzerlandThe Workplace Partner ensures the smooth running of office operations and contributes to the improvement of company processes and daily operations. The Workplace Partner will report to Head of Operations Switzerland.DISCOVER your opportunityWhat will your essential responsibilities include?Ownership· Office supply orders· External archive· Badge and CCTV system· Workplace intranet homepage· Health & Safety, Physical Security & SafetyDaily tasks· Coupa: Management of rental and vendor invoices for workplace & the insurance leadership team· Responsible for office/floor maintenance and repair work· Consolidation with the AXA XL caretaker to plan and coordinate activities, daily tasks· Dealing with daily correspondence, complaints and queries· Development, testing and ongoing optimization of operational processesMonthly tasks· Officer tour; check cleaning, office condition· Exchange with the building managementQuarterly tasks· Ecometrica: AXA XL Zurich carbon footprint reporting· Health & Safety, Physical Security & Safety, IMT reportingAnnual tasks· Manage local contracts, SLA’s and negotiate prices with external vendors and service providers· Management of local workplace budget· Management external archive in Dietlikon; retrieve files, manage document destruction processesOn request· Coordination (with caretaker / catering) & basic organization of board meetings / local events· Consultation with the local IT department on all technical matters· Intranet: Workplace homepage· Order of office supplies like stationary, business cards or coffee supplies· Supporting Geneva office· Preparing workplace for new employees and coordination of leavers· Setting up, implementing and monitoring projects (structural and operational), in close cooperation across departments· Check global AXA XL guidelines and implement locally if necessary, taking local guidelines into accountQualificationsSHARE your talentWe’re looking for someone who has these abilities and skills:Required experienceProfessional experience as a Front Office Manager or Office Administrator is an advantage. A successful Office Manager should also have experience with a variety of office management software (incl. email tools, spreadsheets and databases) and be able to perform administrative tasks accurately and timely.Detailed Requirements· Proven professional experience as an Office Manager, Front Office Manager or Administrative Assistant· Knowledge of office management tasks, systems and procedures· Proficient use of MS Office (especially MS Excel and MS Outlook)· Practical experience with office equipment· Excellent time management and multitasking skills with the ability to prioritize· Problem solving skills and attention to detail· Excellent written and verbal communication skills· Strong organizational and planning skills in a fast-paced environment· Creative thinking with the ability to suggest improvementsRequired educationHigh school diploma; further qualification as Administrative Assistant or Secretary is an advantageFIND your futureAXA XL, the P&C and specialty risk division of AXA, is known for solving complex risks.
